Cancellation policy

We understand that your time is invaluable, as is the commitment of our dedicated team to provide the highest standard of care. We have established a clear and comprehensive cancellation policy to ensure that we can maintain a seamless flow of services and make available appointments to all our clients. This policy is designed to mitigate the impact of last-minute cancellations and no-shows, which can lead to longer wait times for others seeking treatment. We aim to reduce unnecessary gaps in our schedule and uphold the principle of fairness for all clients and practitioners. 

Below, we outline the cancellation procedure and the structured approach we take to handling late cancellations and no-shows. We ensure that our policies are communicated transparently and understood by all our valued clients. This framework allows us to continue delivering exceptional care while respecting the needs and circumstances of our entire clinic community.

Recognising the importance of flexibility and clear communication, our cancellation policy allows clients to cancel or reschedule appointments with adequate notice, thus ensuring we can offer these valuable slots to others in need. We strive to make the cancellation process as straightforward and accommodating as possible, providing multiple channels for clients to communicate their needs promptly.

Fizzio Clinics employs a comprehensive communication strategy for both our In-Clinic and Home Care services to facilitate this process. For In-Clinic services, we implement a booking confirmation system alongside an appointment reminder system that notifies clients via SMS, email, or both two days before their scheduled appointment. This ensures clients are well-informed and can make any necessary adjustments to their schedules promptly. For our Home Care services, clinicians personally inform clients of their next appointment date at the end of each visit. Our dedicated administrative team reaches out directly for initial consultations to set up the appointment. Similarly, appointment confirmations for Home Care services are made two days in advance, either through SMS or a phone call, based on the client’s preference. This meticulous approach to communication underlines our commitment to ensuring that our clients receive the care they need when they need it while respecting their time and schedules.

In-Clinic

At Fizzio Clinics, we strive to provide exceptional care and service to all our clients. To ensure the efficient operation of our home Care service and to accommodate the needs of all clients, we have established a comprehensive Cancellation, DNA, and DNS Policy.

Our Policy

We understand that unforeseen circumstances can necessitate the rescheduling or cancellation of appointments. We request that clients notify us as soon as possible should they need to change or cancel their appointment.

For appointment cancellations, please give us a minimum of 24 hours’ notice to avoid incurring a fee. Cancellations can be made through our online booking system, via email or SMS, or by calling 1300 693 499. Our email and SMS, confirmation and reminder systems are designed to provide ample notice and flexibility for appointment changes.

Late Arrivals: Clients arriving late may be accommodated based on the following guidelines:

  • Shortened treatment if the clinician has subsequent appointments.
  • Rescheduling if accommodation is not feasible.
  • The clinician will try to provide a full treatment if it is their last appointment of the day.
  • Repeated late arrivals may require pre-payment for future appointments.

 

Fees and Charges

No-Show: Clients who fail to attend their appointment without prior notice will be charged the full fee of the scheduled appointment during their next visit.

Late Cancellation: Cancellations with less than 6 hours’ notice will result in the full fee of the scheduled appointment being charged at the next visit unless another client fills the appointment slot.

NOTE: Insurance coverage such as Medicare, Workcover, and DVA do not cover late cancellations or no-show fees. These charges will be the responsibility of the client.

Policy Exceptions

Exceptions to this policy will be considered case-by-case for genuine emergencies only. These do not include last-minute changes in work, family commitments, or forgetfulness.

Home Care

Policy Enforcement

To maintain the integrity of our scheduling and services, Fizzio Clinics reserves the right to enforce this policy. Clients may receive one grace instance for a late cancellation or no-show. Subsequent instances will incur the respective fees. Continuous no-shows or late cancellations may necessitate pre-payment for future appointment
